Refunds & Cancellations
How deposits, seat cancellations, rescheduling, and refunds work for Virtualization Analytics training.
Scope
This policy covers paid bookings for the Chart Pattern Intensive, Private Chart Reviews, Evening Pattern Clinics, Measurement & Invalidation Labs, and custom group sessions arranged with Virtualization Analytics. It does not cover products, software subscriptions, or physical retail goods — we do not sell those.
Eligibility for refunds
Full refund of fees paid (including deposit) when:
- We cancel a cohort or sitting and cannot offer a suitable alternative date within 60 days
- You cancel in writing more than 14 days before session one (intensives and labs) or more than 48 hours before a private review or evening clinic
Partial refund may apply when:
- You cancel between 14 and 7 days before an intensive or lab: we retain 30% of the total fee (the deposit portion) and refund the remainder if already paid
- A medical or bereavement circumstance prevents attendance and you provide reasonable notice: we may refund unused sessions at our discretion after costs
No refund when:
- You cancel within 7 days of an intensive or lab start (deposit and paid balance retained) unless required by Australian Consumer Law
- You cancel a private review or clinic within 48 hours of the start time
- You fail to attend without notice (no-show)
- You are dissatisfied with trading outcomes after attending — training is educational, not a performance guarantee
- Workbooks or chart packs have already been issued for a session you later skip, for that session’s materials cost only when itemised
Deposits
A deposit reserves your seat and is applied to the total fee. Deposits become non-refundable inside the windows above except where we cancel or Australian Consumer Law requires otherwise.
Rescheduling
You may request one complimentary reschedule to a later published cohort or sitting if you give at least 7 days’ notice for intensives/labs or 48 hours for reviews/clinics and space exists. Further reschedules may incur an administration fee of AUD 60.
Work already started
If an intensive has begun and you withdraw, fees for completed sessions are not refundable. We may offer credit toward a future clinic equal to unused session value, valid for six months, at our discretion.
Materials
Printed workbooks supplied for a session you attend are yours to keep and are non-returnable. Digital materials remain licensed for personal use as described in our Terms.
How to request a refund
Email hello@virtualizationanalytics.digital with your full name, booking reference or confirmation date, and reason. We confirm receipt within two business days and decide within ten business days.
Processing time and method
Approved refunds are returned to the original payment method within 10–15 business days of approval. Bank processing times may add several days.
Cancellations by us
If we must cancel due to instructor illness, venue closure, or insufficient enrolment, you may choose a full refund or transfer to a future date at no extra charge.
Consumer law
Nothing in this policy limits your rights under the Australian Consumer Law.
